How can a small business use AI?
The reliable uses for a small business are drafting — emails, product descriptions, proposals — summarising long documents or conversations, sorting and routing incoming enquiries, and answering repeat customer questions from your own documentation. All of these keep a person in the loop, which is what makes them safe to adopt quickly.
Most AI advice aimed at small businesses is either vague or assumes resources they do not have. These are applications a business with a handful of staff can actually implement and measure.
What is the easiest place to start?
Drafting. Using an AI assistant to produce first drafts of routine emails, product descriptions and proposals saves real time immediately, needs no integration, and carries low risk because a person reviews everything before it is sent.
Start by writing down the three things you type most often. Those are usually the highest-return candidates and can be tested the same day.
Should we build a chatbot?
Only if a meaningful share of enquiries are repeat questions your documentation already answers. If enquiries are varied or high value, a chatbot adds a layer between you and the customer without removing much work.
Check your last hundred enquiries and count how many are the same handful of questions. That number decides whether a chatbot is worth building.
What should a small business avoid?
Publishing unreviewed AI content, which performs poorly and can make claims you cannot support. Automating customer-facing decisions without review. And buying AI tools before identifying the task — the tool should follow the problem, not the other way round.
Also avoid pasting confidential customer or commercial information into consumer AI tools without checking the data terms that apply to that product.
What does it cost?
Assistant subscriptions are modest per user. Custom integrations cost more to build and carry per-request running costs that scale with usage. Model the monthly figure at expected volume before committing, because pilots are inexpensive and production is not.
For most small businesses the first useful step costs very little — the expense begins when integration and automation are involved.
Is our data safe?
It depends on the product, the plan and the configuration. Business and API terms commonly differ from consumer product terms regarding whether inputs may be used for training. Read the terms for the specific product you use rather than assuming.
Set an internal rule about what may and may not be pasted into external tools. Most exposure incidents are ordinary staff convenience rather than anything deliberate.
